From Paper Binders to Best Practice: Saltå Kvarn Modernizes AP with Truvio and Business Central

As one of Sweden’s leading organic food producers, Saltå Kvarn needed a more modern finance process to support growth, food manufacturing requirements, and approximately 5,000 invoices each year. By implementing Truvio AP Automation alongside Foodware for Microsoft Dynamics 365 Business Central, the company replaced paper-based invoice handling, binders, and manual entry with a digital AP workflow that improves visibility, saves time, supports remote work, and gives the finance team a more efficient way to manage invoices across the organization.

About Saltå Kvarn

Saltå Kvarn is one of Sweden’s leading producers of organic food products. Since 1964, the company has produced food with a focus on great taste, healthy ingredients, organic farming, and contributing to a more balanced planet.

The company’s product range includes flour, lentils, dried fruit, and other organic goods sourced from farmers around the world. As Saltå Kvarn grew beyond its original product offering, the business needed systems that could support both finance modernization and the specific requirements of food manufacturing.

Today, Saltå Kvarn processes approximately 5,000 invoices annually through Truvio AP Automation.

Truvio AP Automation for Microsoft Dynamics 365 Business Central; Foodware by Aptean

The Challenge:
Saltå Kvarn needed to replace paper-based AP with a process built for modern finance.

Before implementing Truvio AP Automation, Saltå Kvarn’s invoice process depended heavily on paper. Invoices were moved by hand, passed between binders, entered manually, and managed through routines that made AP slower and more difficult to control.

For the accounting team, this created unnecessary administrative strain. Invoice work took too long, visibility was limited, and the process made it harder for employees to understand where invoices were in the flow. Simple tasks could become time-consuming because information was tied to physical documents and manual handoffs.

The company also needed more flexibility. Paper-based AP made it harder for employees to work outside the office, which became especially important during the pandemic. Saltå Kvarn needed a digital process that would allow finance work to continue without being dependent on physical files or office-based routines.

At the same time, Saltå Kvarn operates in a highly regulated food manufacturing environment. Traceability, consistency, and process control are critical. As the company evaluated new ERP options, it needed a solution that could support food industry requirements while also helping finance move away from outdated invoice handling.

Saltå Kvarn wanted to save time, reduce administrative pressure, improve visibility across the organization, and create a stronger foundation for future growth.

The Solution:
Truvio and Foodware gave Saltå Kvarn a modern Business Central foundation for finance and food manufacturing.

Working with Softronic, Saltå Kvarn selected Microsoft Dynamics 365 Business Central with Foodware by Aptean and Truvio AP Automation.

Foodware gave the company food manufacturing capabilities designed for the industry, including support for batch tracking and traceability. Truvio AP Automation added a digital invoice management process built into Business Central, helping the finance team replace manual AP routines with a more streamlined workflow.

Together, the solutions gave Saltå Kvarn a standardized ERP foundation that supported both operational needs and finance automation. Instead of moving invoices through binders and relying on manual entry, the team could manage invoices digitally, follow invoice flows more easily, and give employees better access to the information they needed.

The move to Truvio changed the day-to-day experience for the accounting team. Invoice handling became easier to manage, less stressful, and more transparent. Employees gained a clearer view of invoices and the approval flow, helping the organization work in a more coordinated way.

The digital process also gave Saltå Kvarn the flexibility to work from home when needed. During the pandemic, that capability helped employees stay safe while keeping the business running without interruption.

“Moving to Truvio feels like taking a 30-year leap into the future. We are now able to take advantage of more automated, digital processes, and it is great to see how powerful the tool is for a finance department.”

The Result:
Saltå Kvarn turned invoice handling into a faster, more visible, and more flexible finance process.

With Truvio AP Automation and Foodware inside Microsoft Dynamics 365 Business Central, Saltå Kvarn moved from a paper-based AP process to a digital workflow that better supports modern finance operations.

The finance team no longer has to spend the same level of effort moving paper invoices, searching through binders, entering data manually, or relying on outdated routines. Invoice work is now more structured, more accessible, and easier to follow from start to finish.

Visibility has improved across the organization. Employees have a clearer view of invoices and invoice flows, making it easier to understand what has been received, where approvals stand, and what needs attention. This helps reduce friction between finance and the rest of the business.

The shift to digital AP also improved time management and reduced administrative stress for the accounting team. With a more streamlined process, employees can spend less time managing paper and more time on higher-value finance work.

Remote work became another important outcome. Because invoices are no longer tied to physical documents in the office, Saltå Kvarn’s finance team can continue processing invoices from home when needed. That flexibility helped the company maintain continuity during the pandemic and created a more resilient way of working for the future.

For Saltå Kvarn, the combination of Truvio and Foodware also strengthened the broader Business Central environment. Foodware supports the traceability and batch control requirements of food manufacturing, while Truvio helps finance operate with more efficiency, visibility, and control.

Saltå Kvarn now processes approximately 5,000 invoices annually through Truvio and views its AP process as a modern best practice.

Overall, Truvio helped Saltå Kvarn bring invoice management out of the past and into a more digital, efficient, and future-ready way of working. With paper-based routines replaced by automated workflows inside Business Central, the finance team is better equipped to support growth, remote work, and the high standards required in organic food production.
